TechLion, LLC ("we," "us," or "our") operates OrgHive AI ("OrgHive"), an AI-powered knowledge management platform. This Privacy Policy explains how we collect, use, disclose, and protect information when you use our Service.

2.1 Information you provide directly:

  • Account information: name, email address, job title, and organization details when you register
  • Profile information: avatar color and display preferences
  • Content: documents, wiki pages, knowledge sources, and other materials you upload
  • Communications: messages you send to us for support

2.2 Information collected automatically:

  • Usage data: pages visited, features used, queries made, and time spent on the Service
  • Device information: browser type, operating system, and IP address
  • Log data: server logs including access times and error reports
  • Cookies and similar technologies to maintain sessions and preferences

2.3 Information from third parties:

  • Google OAuth data if you connect your Google account for Drive integration
  • Single sign-on data if your organization uses SSO

3. How We Use Your Information

We use the information we collect to:

  • Provide, maintain, and improve the OrgHive Service
  • Process and respond to your queries using AI models
  • Send transactional emails including invitations, password resets, and account notifications
  • Respond to your support requests and communications
  • Monitor usage patterns to improve the Service
  • Detect and prevent fraud, abuse, and security incidents
  • Comply with legal obligations

4. AI Processing

OrgHive uses artificial intelligence to power its knowledge base search and question-answering features. When you or your team members ask questions in OrgHive:

  • Your query and relevant knowledge base content are sent to Anthropic's Claude API for processing
  • We do not use your content to train AI models
  • Anthropic's data handling practices are governed by their own privacy policy
  • Conversation history is stored to provide continuity across sessions

5. How We Share Your Information

We do not sell your personal information. We share information only in the following circumstances:

5.1 Service providers:

We share information with trusted third-party vendors who help us operate the Service, including:

  • Supabase (database and authentication)
  • Vercel (hosting and infrastructure)
  • Anthropic (AI processing)
  • Voyage AI (embedding generation)
  • Resend (transactional email)

All service providers are bound by data processing agreements and may only use your information to provide services to us.

5.2 Within your organization:

Content you create is shared with other members of your organization who have appropriate permissions within OrgHive.

5.3 Legal requirements:

We may disclose information if required by law, court order, or governmental authority, or to protect the rights, property, or safety of TechLion, LLC, our users, or others.

5.4 Business transfers:

If TechLion, LLC is acquired or merges with another company, your information may be transferred as part of that transaction. We will notify you before your information becomes subject to a different privacy policy.

6. Data Retention

We retain your information for as long as your account is active or as needed to provide the Service. If you cancel your account, we will retain your data for 30 days to allow for export, after which it will be permanently deleted. We may retain certain information longer as required by law or for legitimate business purposes such as fraud prevention.

7. Data Security

We implement industry-standard security measures to protect your information, including:

  • Encryption of data in transit using TLS
  • Encryption of sensitive data at rest
  • Access controls limiting employee access to user data
  • Regular security monitoring and logging

No method of transmission or storage is 100% secure. We cannot guarantee absolute security but are committed to protecting your information using commercially reasonable means.

8. Your Rights and Choices

Depending on your location, you may have the following rights regarding your personal information:

You can export your organization's data at any time from your admin settings.

8.2 Correction:

You can update your profile information at any time from your account settings.

8.3 Deletion:

You can delete your account at any time. Organization admins can delete their organization and all associated data.

8.4 Opt-out of communications:

You can unsubscribe from non-transactional emails using the unsubscribe link in any email.

8.5 California residents:

Under the California Consumer Privacy Act (CCPA), California residents have additional rights including the right to know what personal information we collect, the right to delete personal information, and the right to non-discrimination for exercising these rights. 9. Cookies

OrgHive uses cookies and similar tracking technologies to maintain your session and remember your preferences. You can control cookie settings through your browser, though disabling cookies may affect the functionality of the Service.

10. Children's Privacy

OrgHive is not intended for use by individuals under the age of 18. We do not knowingly collect personal information from children. If we become aware that a child has provided us with personal information, we will delete it promptly.

11. International Users

OrgHive is operated from the United States. If you are accessing the Service from outside the United States, your information will be transferred to and processed in the United States. By using the Service, you consent to this transfer.

12. Third-Party Links

The Service may contain links to third-party websites or services. We are not responsible for the privacy practices of those third parties and encourage you to review their privacy policies.

13. Changes to This Policy

We may update this Privacy Policy from time to time. We will notify you of material changes by email or through a prominent notice in the Service. Your continued use of the Service after changes constitutes acceptance of the updated policy.
